Primary Responsibilities

This role provides high-level administrative, organizational, and strategic support to executives and senior management within an organization. They are crucial to improving the executive’s productivity and efficiency by managing their time, handling sensitive information, and serving as a central point of contact.

What You’ll Do:

  • Office Management: Ordering supplies, managing office inventory, and ensuring the smooth functioning of the office environment. Submitting building work orders, onboarding new employees
  • Document Preparation: Preparing reports, presentations, and other documents as needed
  • Special Projects: Assisting with special projects and initiatives as assigned by the executive team; ordering catering for events
  • Calendar Management: Scheduling appointments, meetings, and events for executives
  • Communication Management: Answering phones, screening calls, managing emails, and drafting correspondence
  • Meeting Coordination: Organizing and facilitating meetings, including scheduling and preparing materials
  • Travel Arrangements: Making travel arrangements, including flights, accommodations, and itineraries

Working Conditions:

This role requires you to be in office at 1100 Main Street, Kansas City MO 64111. Our office hours are from 9am – 5pm, Monday through Friday.

Skills & Qualifications

Required:

To be successful as an Executive Administrative Assistant, strong skills in several areas are essential.

  • Administrative Support: Providing comprehensive administrative support, including data entry, file management, and setting up systems to improve efficiency.
  • Communication: Excellent verbal and written communication skills are vital for interacting effectively with executives, clients, and team members.
  • Organization & Time Management: The ability to manage multiple tasks, prioritize effectively, meet deadlines, and keep schedules and information well-organized is crucial.
  • Attention to Detail: Paying meticulous attention to detail is necessary to avoid errors in scheduling, communication, and document preparation.
  • Technological Proficiency: Expertise in office productivity tools like Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace is fundamental. Familiarity with project management tools and communication software may also be required.
  • Discretion & Confidentiality: Handling sensitive information with the utmost care and discretion is paramount.
  • Problem-solving & Critical Thinking: EAs often need to anticipate needs, troubleshoot issues, and devise solutions independently.
  • Adaptability & Flexibility: The ability to adjust quickly to changing priorities and demands is crucial in a dynamic executive environment.

Preferred:

  • Associate’s or Bachelor’s Degree/Relevant Experience: Business Administration, Communications, Office Administration, or related fields are particularly beneficial.
  • Prior administrative experience.
